Credit transfer and reporting credit-bearing activities at GPH

This page describes how doctoral students apply for credit transfer and how to report other credit-bearing activities at the department.

To register participation in a credit-bearing activity, you must report the activity.

This includes activities such as:

  • Participation in seminar series, journal clubs, workshops or similar.
  • Teaching within your personal research area.
  • Visiting another research group at another university.
  • Participation and presentation at an international conference.

In general, the educational administration will not report credits in Ladok above the maximum mandatory amount. The minimum and maximum amount of mandatory credits varies between the general syllabuses and depends on the starting date of your doctoral education. Therefore, you must check the syllabus that applies to your studies.

Submit any applications for seminars, workshops or journal clubs when the minimum amount of mandatory credits for doctoral education is obtained. One 2-3-hour research seminar or workshop gives 0.3 credits and each Thursday seminar at GPH gives 0.1 credits.

How to report credit-bearing activities at GPH

  1. Complete Form 16 - Reporting credit-bearing activities
  2. Attach the following documentation to the application:
    - For active participation in international congress: abstract or poster depending on type of presentation, conference programme/syllabus, certificate of active participation.
    - For seminars, workshops, teaching: Programme/syllabus, date and length of seminar or teaching (in hours) and signed certificates from seminar leader, supervisor or course leader of active participation.
  3. Submit your printed application to the administrative officer of doctoral education, together with attached documents and certificates.
  4. The director of doctoral education at GPH will decide, based on the general syllabus, if an activity is credit-bearing, and if so, how many credits it awards. If the application is unclear or needs to be supplemented, you will be informed. If the application is approved, it will be registered in Ladok within 1-4 weeks.

For activities conducted during your doctoral studies, please use form 16.

For any activities conducted prior to your doctoral education at KI, they must be transferred using form 13 together with verified documents, see instructions for credit transfer below.

Please note, that it is your responsibility to provide enough documentation so that an assessment of relevance, level and scope of the course or credit-bearing activity is possible. Without enough information a decision cannot be made.

Credits for courses outside of KI

The course administrator will register the courses you attend at KI during your doctoral education, in Ladok. For courses you attend outside of KI, during or prior to your doctoral education, you must apply for a credit transfer.

If your course plan changes during your doctoral studies, these changes should be reported in the yearly follow-up or in the individual study plan ISP.

Credit transfer

A credit transfer is a decision regulated by the Higher Education Ordinance. It means that one of the credit-bearing courses and knowledge requirements of the general syllabus is replaced by credits earned previously or outside KI. Credit transfer is not the same as credit reporting.

Credit transfer for course concluded prior to doctoral education

To transfer credits from previous studies is possible for doctoral students who have earned more credits than what is required for general eligibility to doctoral education (i.e. 240 credits where at least 60 credits at advanced level).

How to apply for credit transfer at GPH

  1. Complete Form 13 - Application for credit transfer. You can only apply for one transfer for each form.
    Attach the following documentation to the application:
    - For courses: a course programme/syllabus, schedule with information about course intensity, and a certificate of participation and passed examination.
    - For active participation in international congress: abstract or poster depending on type of presentation, conference programme/syllabus, certificate of active participation.
    - For seminars, workshops, teaching: Programme/syllabus, date and length of seminar or teaching (in hours) and signed certificates from seminar leader, supervisor or course leader of active participation.
  2. Submit your printed application to the administrative officer of doctoral education, together with attached documents and certificates.
  3. The director of doctoral education at GPH will decide whether you can transfer the credits. You will be contacted if the application is unclear or needs to be supplemented. If the application is approved, it will be reported in Ladok within 1-4 weeks.
