For students attending the Master's Programme in Toxicology Getting started - How to apply
Start by thinking about what you would like your study abroad period to be like. Read up on the options and search for more information on KI web site, in exchange reports, on the partners universities’ web sites, etc. In the online application form, you will be able to rank up to six options.
How do I apply?
Since January 2022 we are using a new online application system called Mobility Online and the whole application is electronic. All supplementary documents can be uploaded onto our application database.
Step by step instructions for how to complete and submit the electronic application form:
1. Application Form
The application for our exchange study program is only available online.
The application to our exchange study program is only online. Follow the instructions carefully: an incomplete application results in not being considered for exchange studies by the international committee. Late applications will not be considered in the first round of applications.
The electronic application is constituted by two parts. The first part is the online registration where you state your contact details, information about your present studies, which semester you are studying and which programme you are registered in at Karolinska Institutet. You can state up to 6 preferences in the order that you choose to prioritize. You will only be able to choose universities with which your programme has a bilateral agreement.
After you have submitted your application online you will receive an automatic generated email with a link that you will have to follow in order to complete your application with all the extra documents necessary to finalize the application process. This last step can be done online directly in Mobility Online.
Freemovers
For students interested in going abroad for the 30 ECTS or 37,5 ECTS research project outside our bilateral agreements there is no need to apply by February 28th since you will be going abroad as freemover. You will though need to have finalized all paperwork latest 4-6 weeks before your departure (this includes even receiving your visa when applicable). Only students doing internships in the European Community will be awared an scholarship. In order to receive a scholarship you need to be abroad for at least 60 days.
Selection criteria
BIONK has decided on a number of selection criteria for exchange studies within the Master’s Programme in Biomedicine. You must comply with a number of basic requirements. If you fulfil the basic requirements your application will then be considered for nomination according to the following criteria:
Study results (0-5 points): Based on passed courses within your current programme, when they were passed and grades received.
Previous research experience in relevant fields (0-5 points): (excluding those included in study programmes, e.g. graudate theses, junior projects etc). If you claim research credentials, you must attach a letter of reference from your research supervisor with the application.
Promotion work for KI (0-2 points): Extra-curricular work in order to promote education at KI, e.g. as digital ambassador, student ambassador, work as MF student representative on the programme committee or other bodies within KI. Note that assessment of these commitments is specific to the biomedical programmes and BUS has a template for the certificates. Only certified activities will be considered.
Overall assessment of the application (0-5 points): The overall assessment includes A) Letter of Motivation, including why you would be a good candidate to be nominated for exchange studies, max one A4 page, B) Other commitments, e.g. extra work or involvement in other associations and C) Special interest in particular courses and/or institutions. demonstration of your competence to continue your studies at KI at the time of your departure.
Language skills: your mastery of the language of instruction at the foreign university or how you plan to acquire the necessary language skills.
Good ambassador: you have to be a good ambassador for Karolinska Institutet. As an exchange student from KI, you will be representing KI at the host university. You will be a small part of the image that the host university has of KI, and furthermore a guarantee of continued student exchange.
Erasmus rules: as an Erasmus student you must also comply with the requirements posed by the EU Commission in Brussels – you must have studied at a college/university for at least one year and remain away for at least 2 and not more than 12 months.
Overall assessment of the application (0 – 5 points)
Half points can be used.
Master’s students, maximum 17 points.
What to include in the application
1. The Application Form
Follow the directions in the Application Form carefully. The application form can only be completed online.
2. Curriculum Vitae (CV) in English
Your CV should be well-written in reverse chronological order and easy to understand.
If you do not already have a CV, a web site that can help you to get started is Europass.
State your language skills according to the EU CEFR scale.
You do not need to send any supporting documentation, but should be prepared to produce it on request.
3. Transcript of Records
A Transcript of Records in English from the Ladok register should be included in your application as proof of your study merits. It can be obtained by yourself directly from "Ladok on Web". No stamp or signature is required on this document.
If you are lacking 7,5 hp or more for your application, you should attach an appendix explaining why.
4. Motivation Letter in English
A personal statement of motivation should be written in English and be a maximum of one A4 page in length, using the Times New Roman, 12 point font. Your motivation letter is an important part of your application and should therefore be well-written. Present yourself briefly in the introduction and bear in mind that the letter should deal with why you wish to take part in an exchange. Experience and special interests referred to in the letter should be relevant to your application.
5. Documented research experience
In case you have research experience (such as a summer internship at a lab, etc.) outside of your regular Bachelor's and Master's programme, include a certificate, diploma, or letter from the supervisor – must be signed and stamped.
A letter of reference is no longer a requirement from BIONK. However, if you want to be considered for extra points for your research experience, a supporting document is mandatory.
General rules
Important information regarding application, waiting list and second round of application
Deadline to apply for exchange studies in the academic year 2024-2025 is Friday January 26th at 11am. Only complete applications are assessed by BIONK. No individual extensions will be granted.
Acceptance of nomination
After BIONK has assessed all applications, they are ranked based on the criteria set by the international committee. Successful applicants will receive an offer of exchange (nomination) by email and a deadline to accept/reject their nomination.
As an applicant you have the following options:
- Accept their nomination
- Reject their nomination
- If not having been nominated to the firsthand choice of university, the applicant can accept their nomination and be placed on a waiting list for a higher alternative as listed in the application
If the applicant does not fulfill the course eligibility criteria to be nominated for exchange, i.e. having passed all taken courses, the applicant will receive a conditional nomination. This eligibility criteria will be checked again on April 15 for exchange during the Autumn semester and on September 15 for exchange during the Spring semester.
As soon as an applicant accepts their nomination, the international coordinator will nominate the applicant to the allocated host institution; the applicant will have to apply to the partner institution according to the rules stated in the information sent by the partner institution.
Waiting list
During the first two weeks of May the international coordinator will assess if any of the applicants placed on the waiting list can be offered a higher alternative. After this assessment, all applicants on the waiting list will be informed if any of their higher alternatives have become available and they will be offered the opportunity to be nominated to a higher ranked alternative or to keep the original nomination.
After this step the student will no longer be able to change to any other host institution. It is not permitted to reject a nomination awarded in the first round of applications and then re-apply in the second round. Any such application will not be assessed.
Second round of applications
Those who did not apply for exchange in the first round have the opportunity to apply for exchange in the second round of applications. In mid-May the list of places still available after the first round will be published online, and a second application round will be announced. Deadline to apply for vacant places is set to June 7th 2024.
During the first week of the summer break, students who did not participate in the first application round can apply in the second round, and exchange study places will be allocated on a first come, first served basis.
Until accepted by our partner university it is possible to withdraw from the exchange program. Please consider though that the later you withdraw, the fewer chances you will give to a fellow student to be nominated instead of you if there is a tight application deadline to the partner institution. After being accepted you will only be able to withdraw due to issues related to health, family problems or financial problems.
Rules
Only one exchange per academic year is possible.
You cannot postpone an exchange place to next academic year unless you have a valid reason for doing so.
If you are awarded a scholarship, you have to follow the rules that apply to the scholarship (see Travel Grant Application Form for Exchange Students).
Within Erasmus+ you can receive the scholarship in total up to 12 months per academic level (i.e. Bachelor, or Master).
During your exchange period you must be a good representative for KI and market KI in the best possible way. See Code of Conduct for exchange studies.
You have to hand in your exchange report after your exchange period has ended. The deadline is September 1 every year, but you are strongly advised to write and hand in the report directly upon return from your exchange.
Deadline for applications 2024/2025
The last day to apply for exchange studies during the academic year of 2024/2025 is January 26, 2024 (at 11.00 am). The registration page opens in late December and can be found here.
If after the first round of applications we still have available exchange places they will be advertised here on this page and the last day to apply for any of these places will be June 7th 2024. Please note that if you have applied for exchagne studies in January you cannot re-apply in June.
