Application for credit transfer using Ladok

Karolinska Institutet is conducting a pilot project with digital application for credit transfer using Ladok. During the implementation period, students from the following programmes should submit their credit transfer applications using Ladok:
• Study Programmes in Specialist Nursing
• Study Programme in Occupational Therapy
• Master's Programme in Translational Physiology and Pharmacology wanting to transfer credits for elective course/s.

During the implementation period, applications are restricted to the above mentioned programmes.

All other applications are referred to the information available on the All course- and programme websites regarding application for credit transfer. 

Application for credit transfer, crediting, using Ladok

Karolinska Institutet is conducting a pilot project with digital application for credit transfer using Ladok. 

Prepare your application carefully

  • Apply for credit transfer well in advance of the course start.
  • If you want to transfer credits for an elective course, you need to check the rules for your programme regarding electives and credit transfer – see the programme web page.
  • Your application will be processed promptly, but note that it may take up to eight weeks before you receive a decision. If you have not received a decision by the start of the course, you must begin the course.

Before you apply

  • Prepare your application carefully by saving your attachments as PDF documents. In case of uncertainty, you may need to present the original documents.
    You can use the free-text field in the application to include links to course- and programme syllabi from Swedish universities.
  • If you have questions about your application, contact your programme administrator, study counsellor, or examiner.
  • You may be asked to provide additional information to your application by a specific date. If the information is not submitted on time, the application will be assessed based on the existing documents.
  • If you want to claim prior learning, such as work experience, you must attach an employer’s certificate and a self-assessment. Use the self-assessment template available under “Documents.”

Regarding attachments

  • Attachments must be electronic originals or scanned copies of paper originals.
  • Screenshots are not accepted.
  • Certificates from Swedish universities must be verifiable.
  • Other certificates must be certified copies.
  • Links to course and programme syllabi from Swedish universities can be entered as free text on the last page of the application.

The following attachments should be included to support your application:

  • Transcript of Records: The transcript must show the university’s name, grades and grading scale, as well as the date of issue. The transcript must be verifiable if it comes from Ladok; otherwise, it must be certified.
    Transcript from a university outside of Sweden: Provide the transcript both in the original language and with an English translation. The transcript must include the university's name, course titles, scope of studies, grade and date of issue. It must be certified.
  • Course syllabus or equivalent: The syllabus must state the course name, course code, structure, level, scope, examination format, and reading list. You may enter a link to the syllabus in the free-text field at the end of the application.
  • Exchange studies: In addition to the above, the Learning Agreement must be attached.
  • Other education or work experience: Employer certificates and other documents verifying your qualifications (prior learning). These documents must be certified. You must also attach a self-assessment; see the template below.

What consequences does Credit transfer have for your studies?

You have the right to request credit transfer for all previous education and work experience. However, this does not apply if there is a substantial difference between the knowledge and skills you claim and the intended learning outcomes of the education for which the credits are sought.

Please be informed

  • That when your application has been accepted you are not entitled to take part in the course you have transferred credits to.
  • If you have a grant from the Swedish student finance CSN this will not be paid for the transferred course. 

Prior learning refers to the combined competence a person has, regardless of whether they have formal proof of it or not. (Swedish Association of Higher Education Institutions, Recommendations for the work on validating prior learning in higher education, ref. no. 42/03). This may be because the student’s knowledge, skills, and attitudes have been acquired through work experience or education outside higher education, or due to the absence of proof or syllabi from higher education.

Certificates from universities and higher education institutions

Certificates from universities and higher education institutions must be verifiable.
To verify a certificate from Ladok, follow the link provided at the bottom of the transcript from Ladok. When the personal identity number and the control number shown on the certificate are entered, a copy of the certificate will be displayed in the browser.

Copies of original documents

Other documents that are copies of original documents must be certified. This means that someone other than yourself confirms on the document that it corresponds to the original and writes their name: name in print, signature and phone number. The person certifying must have seen the original document.
You can ask someone you know or a public official to certify your documents. You can also get assistance with certification from a Notary Public at the County Administrative Board.
