What is the Erasmus+ Learning Agreement for traineeships?

The Erasmus+ Learning Agreement for Traineeship is a required Erasmus+ document that describes your traineeship abroad. It is an agreement between you, Karolinska Institutet (KI) and the host institution, outlining the traineeship activities, learning outcomes, supervision arrangements and how or if the traineeship will be recognised by KI.

Before you begin

Before completing the Learning Agreement,  ensure that you have:

  • Secured a host organisation and supervisor
  • Agreed on the traineeship dates and content
  • Identified the KI representative who will approve your traineeship

General information in the Learning Agreement

Trainee (Student)

Enter your personal details as they appear in Ladok and your passport.

  • Name
  • Date of birth
  • Nationality
  • Gender
  • Level of education (Bachelor/Master/PhD)
  • Field of education (use ISCED code if required)

Beneficiary Organisation (KI)

For outgoing Erasmus+ traineeships from KI, the Beneficiary Organisation is:

  • Karolinska Institutet, 171 77 Stockholm, Sweden
  • Erasmus code: S  STOCKHO03 (zero three)
  • Contact person (name + email): you only need to add the name of the KI contact person. This is usually the course coordinator or examiner for traineeships that are part of a course, or the programme director (or equivalent) for traineeships outside your studies.

Sending Institution

Leave this section blank.

Receiving Organisation (host organisation)

Include:

  • Organisation name
  • Department or unit
  • Address + website
  • Country
  • Organisation size (≤250 or >250 employees)
  • Contact person (normally the person responsible for the trainee’s supervision, assessment and evaluation that is, the supervisor, and is the person who signs the traineeship certificate at the end of the traineeship period
  • Mentor (support person, if different from supervisor)

Important: Double-check all email addresses before sending the document.

How to fill out the Erasmus+ Learning Agreement for traineeships step by step

Table A – Traineeship Programme at the Receiving Organisation

This is the most important part of the Learning Agreement. A well-written Table A makes approval faster and clearly shows the academic value of your traineeship.

Fill in:

Traineeship period

Enter the start and end dates of your traineeship (physical mobility) that have been agreed by both KI and the host organisation.

Traineeship title

Choose a title that describes your role and reflects the content of the traineeship

  • Example: “Research Intern in Molecular Biology” or simply "Clinical rotations"

Number of working hours per week

The number of hours must show that your work duties are full-time, usually 40 hours/week. If the number differs significantly from that it is important that this is described in detail under “Detailed programme of the traineeship”

Detailed programme of the traineeship

This section describes what you will do. Be specific and focus on concrete activities, duties and responsibilities.

  • Example: Participate in an ongoing research project, conduct literature reviews, collect and analyse data, attend research group meetings, contribute to scientific reporting and present project results

Knowledge, skills and competences to be acquired by the end of the traineeship (expected learning outcomes)

Describe what you are expected to learn, develop and achieve during the traineeship, what the intern is expected to achieve during the traineeship period.

  • Example: Advanced lab techniques, scientific writing, intercultural communication

Do not repeat the activities from the previous section. Activities = what you do. Learning outcomes = what you learn

Traineeship in digital skills

Any traineeship where trainees receive training and practice in at least one or more of the following activities: digital marketing (e.g. social media management, web analytics); digital graphical, mechanical or architectural design; development of apps, software, scripts, or websites; installation, maintenance and management of IT systems and networks; cybersecurity; data analytics, mining and visualisation; programming and training of robots and artificial intelligence applications. Generic customer support, order fulfilment, data entry or office tasks are not considered in this category.Indicate whether the traineeship includes training or practical experience in digital skills. If digital technologies are only used as ordinary office tools, select "No". To receive an Erasmus+ grant, you must undertake a physical mobility period abroad.

Monitoring plan

Describe how your work will be supervised and how your supervisor at the host organisation will follow up and support you throughout the traineeship. It is recommended to agree on follow up meetings during the traineeship.

Evaluation plan

Describe how your work and learning outcomes will be assessed by your supervisor at the host organisation. For example, describe whether any presentation and/or reports will be the basis for the supervisor’s assessment of the trainee.

Level of language competence

Indicate main working language and the level of your language skills. If you are unsure on the level, you can take the OLS language test by joining the “Learn a New Language Community" and receive your level according to the Common European Framework of Reference for Languages (CEFR) immediately after completing the test.

Table B – Sending Institution – recognition at KI

This section explains how KI will recognise your traineeship after it has been completed. If you are unsure, confirm with your KI contact person which category applies. Select one option only:

Option 1: Embedded in curriculum (part of a course at KI)

The traineeship forms part of a course or degree requirement and may award credits.

Option 2: Voluntary traineeship (ex: summer internship)

The traineeship is not required for your study programme but is approved within the Erasmus+ framework.

Option 3: Recent graduate traineeship (after your graduation)

The traineeship takes place after graduation within Erasmus+ rules and there will be no recognition after graduation.

Insurance section (you will be fully insured through KI)

KI provides insurance coverage for Erasmus+ traineeships. The relevant insurance sections are normally completed by KI and do not usually require any action from you.

Table C – Receiving Organisation (to be filled out by supervisor abroad)

This section is completed by the host organisation. The organisation confirms:

  • Financial support (if any)
  • Contributions in kind (e.g. lunch, accommodation)
  • Insurance (if applicable)
  • Confirmation of support and equipment
  • Commitment to host the trainee

Signatures (Commitment)

The Learning Agreement must be approved before the traineeship starts.

Must be approved and signed before the traineeship starts by:

  • You (the trainee)
  • The responsible person at KI
  • The supervisor or responsible person at receiving organization (supervisor abroad)

Electronic signatures are generally accepted.

During the mobility (Table A2)

If any important changes occur after the traineeship has started, Table A2 must be completed.

Examples include changes to dates, major changes to activities or changes to supervision arrangements.

All changes must be approved by KI and the host organisation and the learning agreement must be updated with new signatures (trainee, responsible person at KI and supervisor at host institution).

(Table D) - Traineeship Certificate by the Receiving Organisation

After completing your mobility, the receiving organisation completes the Traineeship Certificate (Table D). This confirms:

  • the dates of your traineeship,
  • the activities completed,
  • the learning outcomes achieved,
  • the supervisor's evaluation

Before submitting your Learning Agreement, make sure that:

  • All sections are completed
  • Dates are consistent throughout the document
  • Activities are clearly described
  • Learning outcomes focus on what you will learn
